Who We Are

SentientX WhatsApp Messaging is operated by SentientX Media. We provide managed WhatsApp campaign support, approved template setup, Excel contact upload, personalized messaging, campaign reports, and customer inbox support for businesses, institutions, training centres, service providers, and organizations.

Information We Collect or Process

Client Account Data

Client email address, login-related account details, account status, SentientX coin balance, campaign access settings, and admin support notes.

Recipient and Excel Upload Data

Recipient phone numbers, names, and optional Excel fields uploaded by clients for campaign personalization, such as course, branch, enquiry source, date, or other client-provided fields.

Campaign and Template Data

Campaign names, approved template names, template language codes, message body, placeholder fields, recipient count, delivery status, read status, failed status, and Meta/WhatsApp error messages.

WhatsApp Inbox Data

Customer replies received through the WhatsApp Cloud API webhook, profile name if provided by WhatsApp, phone number, message type, message text, media identifiers, timestamps, and reply status.

Support and Enquiry Data

Messages sent to us through email, WhatsApp, social media, phone, or contact links, including the contact details and service requirements shared by the sender.

Technical Data

Basic logs needed to run the website and services, such as timestamps, error logs, device/browser information, and service usage records.

How We Use Information

Client Responsibilities

Clients are responsible for uploading or submitting only contacts who have agreed to receive messages or where the client has another valid basis to contact them. Clients must not upload purchased, scraped, or unauthorized contact lists.

WhatsApp and Meta Processing

WhatsApp messages are sent and received using the Meta WhatsApp Business Platform and related Cloud API services. Message delivery, template approval, number quality, business verification, and platform enforcement are controlled by Meta and WhatsApp. Their own terms and policies may also apply to WhatsApp users and businesses.

We store the operational records needed to provide the service, such as message status and campaign reports, but WhatsApp message transmission also depends on Meta's infrastructure and policies.

Storage, Security, and Access

SentientX uses cloud services such as Firebase and Google Cloud to operate authentication, database, hosting, functions, file import, logs, and related service infrastructure. Access to admin tools and operational data is limited to authorized users who need it to provide the service.

Retention and Deletion

We keep client, campaign, and delivery records for as long as needed to provide the service, maintain reports, resolve support issues, manage billing or coin balance, comply with platform/legal requirements, and prevent misuse.

Opt-Out and Recipient Requests

Recipients who do not want to receive further WhatsApp messages can reply with words such as STOP, UNSUBSCRIBE, or a similar request, or contact us using the details below. We will help process opt-out requests where we can identify the relevant client or campaign.

Clients are expected to honor opt-out requests and remove recipients from future campaigns unless there is a valid reason to continue service-related communication.

Your Choices and Requests

Depending on the situation and applicable law, you may ask us to access, correct, update, restrict, or delete personal information handled by SentientX. We may need to verify the request and confirm whether the data is held by SentientX or by one of our clients.

If you are a recipient of a client campaign, we may direct you to the client that provided your phone number while also helping with opt-out or support where possible.

Children's Data

SentientX services are intended for business and institutional communication. Clients should not upload children's personal data unless they have proper authority, consent, and a lawful reason to send such communication. We do not knowingly provide services for tracking or behavioral profiling of children.

International Processing

Because the service uses cloud infrastructure and Meta/WhatsApp systems, information may be processed on servers located in India or other countries where our service providers operate. We use these providers to run the messaging service, hosting, authentication, reporting, and support workflows.
